Event Planning Tip of the Week

This is really a double tip:

Use an online registration system and if you don’t have staff in house, outsource to a trusted event and meeting management company to manage the process.

There are so many out there. Each has its special value. A planner needs to research several to see which one fits their needs (not someone else thinks you need0 and is within your price point.

Several years ago, we saw come client suffering from poorly done event registration. So, we did our own research and came up with a solution. For going on 11 years now, we have offered e online and on-site registration management services  with our registration management tool of choice.  It took several months for us to make the decision.. We even tried other services for a while, and went back to the one we liked best.

What to consider in an online registration management tool:

  • Robust database with detailed and flexible reporting capability
  • Cost of registrations
  • Manages multiple events
  • Easy onsite check in
  • Easy badge printing
  • Attendee management
  • Session Registration
  • Volume & tiered discounts capability
  • Sponsor management
  • Housing management
  • EBlasts
  • Surveys

If you do a lot of events requiring registration, ticketing, and tracking, you’ll find it may take up a significant amount of someone’s time to manage the registration system and run reports. If that’s the case, you may want to consider outsourcing the task. It can either be a case where you hire a freelancer to manage your account, or hiring a company who has their own account and can manage it all for you. There will most likely be cost savings either way, so you’ll need to decide which works best for your company’s events.

Things to consider when outsourcing:

  • Experience of either freelancer or company
  • The outsourced company uses the tool that you prefer
  • They are Client-centric
  • They are responsive
  • They have the staffing that is required
  • They have a consultative approach & take the time to understand the uniqueness of your conferences and your needs
